Every WhatsApp enquiry answered, qualified and booked in seconds.
Click-to-WhatsApp ads bring enquiries at all hours. Most go cold because the reply comes late or the first ten messages are the same questions. Our WhatsApp AI sales system answers instantly, finds out company, need and budget, books a meeting into your calendar and hands over to a person at the right moment. Every lead lands in one CRM, tagged with the campaign, ad set and ad that produced it.

What it is
A complete lead-handling system built around your WhatsApp Business number. It is the same system we run for ourselves: the number on this page is answered by it. An AI assistant replies to every incoming chat within seconds, in the customer's language, with your tone and your facts. It asks the three questions that matter, in a natural order, and never repeats one. When the enquiry is a fit, it offers real free slots from your team's calendar and books a Google Meet or phone callback. When a person should take over, it hands the chat to the team with a summary of everything said so far.
Behind the chat, every conversation becomes a lead record in a CRM built for this flow: who they are, what they need, the budget they shared, which ad they clicked, whether a meeting is booked, who on the team owns the follow-up. Qualified leads are reported back to Meta as conversion events, so the ad account learns to find more people like the ones who actually book.
What we build
- The assistant. Instructions, tone, Q&A, rules, business hours and fallbacks written for your business, with the fields it must collect (company, problem, budget, timeline, anything specific to you).
- Qualification logic. Budget floors and fit rules you set. Enquiries below the floor get a polite, useful reply and do not take up the team's time.
- Calendar booking. Free-slot lookup against your Google Calendar, slot holds so two people cannot book the same time, Google Meet links, and invites to the customer and your team.
- Human handover. Keyword, escalation and after-N-replies rules that move a chat to a named person with a handover summary; the assistant stays quiet until it is handed back.
- Meta conversion reporting. Qualified leads and booked meetings sent back to the ad account as events, with attribution to the exact ad.
- The CRM. Pipeline stages, lead drawer with the full conversation state, meetings and outcomes, follow-up reminders on the team calendar, cost per lead, per qualified lead and per meeting by ad.
- The ads (optional). Click-to-WhatsApp campaign structure, creatives and pre-filled opening messages that match what the assistant expects.
How it works, message by message
- Someone taps your ad 0 s
WhatsApp opens with a pre-filled first message. The chat arrives with the campaign, ad set and ad attached.
- The assistant replies under 10 s
A greeting in your voice, then one question: what does the business do and what should be fixed? It answers questions about you from the Q&A you approved.
- Qualification 2–5 messages
Company, the problem, then budget. Each answer is saved to the lead. Below your floor, the chat is closed gracefully and tagged; above it, the lead is marked qualified and the event goes to Meta.
- Booking 1–2 messages
The assistant offers the next free slots as tap-able buttons, books the one chosen, creates the Meet link and invites your team. The time is written back to the lead.
- Handover and follow-up when needed
Anything the assistant should not handle goes to a person with a summary. Follow-ups, reminders and meeting outcomes live in the CRM so nothing is lost after the first reply.
Typical deliverables
- WhatsApp Business API number set up and verified on your Meta business (or your existing number moved over)
- The assistant, tested on real conversation transcripts before go-live, with a shadow mode for the first days
- Calendar booking connected to your Google Calendar with your rules (hours, length, lead time)
- The CRM with pipeline, meetings, follow-ups, ad performance and team access
- Meta conversion reporting and a dashboard of cost per lead, qualified lead and meeting by ad
- Documentation and a session on editing the assistant yourselves
Who it is for
- Businesses running or planning click-to-WhatsApp ads on Facebook and Instagram
- Service businesses, clinics, agencies, real estate, education and B2B teams that sell on a call
- Teams receiving more WhatsApp enquiries than they can answer quickly, or answering them outside working hours
Who it is not for
- Businesses without a number or a Meta Business account yet, and no plan to set one up (we can do it, but it is a prerequisite)
- Products where the whole sale closes in chat with no human; the system is built around booking a person
- Anyone wanting to message people who never opted in; the system follows WhatsApp's rules
Tools we use
What people askabout WhatsApp AI.
Will customers know they are talking to an AI?
Yes, if they ask, and the assistant offers a person at any time. In practice people care about getting a useful answer quickly. The assistant is written in your voice and only states facts you approved.
What happens to leads below our budget?
They get a polite, honest reply and a suggestion where useful, and the chat is tagged in the CRM. Your team's time goes to leads that fit, and the ad account is told which leads qualified so it finds more of those.
Can we take over a chat ourselves?
At any point. Handover happens automatically on your rules (keywords, escalation, after a set number of replies) or manually from the inbox. The assistant stays silent on that chat until you hand it back.
Does it work with our existing CRM?
Yes. Leads and meetings can be pushed to HubSpot, Zoho, Pipedrive or a sheet, with the ad attribution intact. Most clients use the CRM we build because it is designed around this flow, but it is not required.
What does it cost to run each month?
WhatsApp conversation charges from Meta, model usage, and the platform subscription; typically a few thousand rupees a month at normal volumes. Your ad spend is separate and paid to Meta directly.
Can we edit what the assistant says?
Yes. Instructions, Q&A, rules, business hours and handover settings are editable from the CRM, with versions you can roll back. We show your team how in the handover session.
See it answer. Message our number.
The WhatsApp number on this site runs the same system. Send a message and watch it qualify and offer a slot.
